The importance of selecting the right IT Partner

Sometimes the best person to ask about what to look for in a good IT partner is someone who started with one that wasn’t. Outgoing National Commercial Manager for Acrow Peter McDonald is happy to admit that they only got it right the second time, when they came to Optimus.

Background

Acrow is the largest scaffolding, formwork, propping and event infrastructure company in New Zealand, with a nationwide branch network.

The company has over 400 employees operating from multiple sites across their nationwide branch network. Having a robust IT and communications infrastructure is a key component in its operations and delivering excellence to its clients in the industrial, commercial, civil and residential sectors.

Problem

In late 2021 a tender process was initiated based on a high-level needs analysis for improving
the efficiency and security of Acrow’s IT systems and providing an appropriate level of
operational support for the business now and into the future.

Optimus Systems was invited to make a submission, but was beaten on price by a
competitor. On the surface, Acrow applied a robust process, doing their due diligence in
selecting an MSP who had the level of experience and capacity to fulfil the requirements of
the tendered contract at a competitive price.

According to Acrow’s Peter MacDonald it was six months into the contract when the senior
management team started having serious misgivings around what was being delivered. “They
(the third-party provider) were falling short on the key performance indicators built into the service contract. Goals and milestones were not being met and instead of any real answers
there were only excuses.”

Solution

Whilst unsuccessful in the initial tender process on price point, Optimus had stood out for several reasons. Firstly, they had been invited late in the process to make a submission and were able to provide a well thought out and researched document.

“Despite having just three days instead of a few weeks before the submission deadline, Optimus pulled together a comprehensive and detailed tender package that showed a depth of skill and knowledge that others did not.”

Secondly, when called upon to provide a system review, Optimus provided the clarity needed to understand where the weaknesses in the system were and, without any judgement or ‘I told you so’ sentiment, making it possible for Acrow to make an informed decision. It was this that made switching to Optimus the viable choice.

The higher cost for the initial quote soon proved to be justified, as Optimus rapidly exceeded expectations by setting a higher standard of service delivery and communication. In turning around a less than optimal server management and cyber security package, and not taking advantage of a customer in need when things became critical, Optimus showed aptitude and integrity.

Outcome

Looking back on how the tender process was conducted, there wasn’t really anything they would
have done differently. “It was a compliant bid, and through the process, we arrived at the most
feasible decision based on the contract brief and submissions received.”

Only in hindsight did they see that perhaps asking a few more deep level questions earlier might
have flagged some of the gaps in service and expertise. However, these weren’t revealed until
months after awarding the service contract and work had started.

“It was a learning experience, certainly, but it was less about what was wrong with who we
picked and more about thinking beyond simply meeting the requirements of the brief. We now understand the added value of looking ahead to the ongoing partnership with the right third party provider, and factoring in what else an IT service provider brings to the table.”
